Whether you are a distributor, a barn or a brand launching your own label, the same five steps keep an order clean and predictable. This guide walks through them.
Step 1: Define the Product Spec Before You Ask for Price
The fastest way to get an accurate quote is to send a concrete spec: product type, size run, materials, gram weight (for rugs and pads), colors, logo method, packaging and target quantity. Vague inquiries get vague answers. At minimum, specify quantity and target price range.
Step 2: Order Samples and Check the Details
Sample first, always. Check the feel of the fabric, the stitching density, hardware strength, and how the logo looks in person. Keep the approved sample — the factory keeps a duplicate, and bulk is checked against it.
Sampling times: logo 3–5 days, material changes 7–10 days, full ODM design 10–15 days.
Step 3: Lock the Spec Sheet
Before production, the spec sheet must be fixed: dimensions per size (in cm), materials, gram weight, hardware, packing rate, carton size, unit weight, lead time. Once approved, nothing changes without written confirmation. This single document prevents most disputes.
Step 4: Plan Production and QC
Bulk production takes 30–45 days from confirmation and deposit. Ask about in-line QC and final inspection. For larger orders, a third-party inspection before shipment is standard practice in the industry and can be arranged.
Step 5: Shipping and Documentation
Samples go by courier; bulk by sea or air under EXW or FOB. Confirm the export documents you need (commercial invoice, packing list, certificate of origin where required) before shipment.

- Ordering from a verbal description instead of a written spec sheet
- Comparing prices without comparing packing rates and carton sizes
- Skipping samples to save time — then reworking the whole first order
- Paying 100% upfront to an unverified supplier
