Factory or Reseller?
The first question to answer is who you are actually dealing with. A reseller resells; the manufacturer makes. You can usually tell from the conversation: a factory talks about production lines, gram weights and carton rates; a trader talks about “our suppliers”. Manufacturers quote better prices at volume and control quality directly — but they often have higher MOQs.
Spec Sheet Discipline
Never order from a verbal description. Get a written spec sheet: dimensions per size, materials, gram weight, hardware, packing rate, carton size, unit weight, lead time. If the factory cannot put fixed numbers on paper, walk away — that is the red flag that costs importers the most.
Sample Before Bulk
Order samples first, always. Check not just looks but feel, weight and stitching. Keep the approved sample; the factory should hold a duplicate. Bulk goods are checked against that same sample before shipment.
Payment Terms
Common terms for first orders: 30% deposit to start production, 70% balance before shipment, or T/T against the copy of shipping documents. Escrow services exist but are rarely needed once the factory is verified. Never pay 100% upfront to an unverified supplier.
QC and Third-Party Inspection
Ask what QC the factory runs: incoming material checks, in-line inspection, final random inspection before packing. For large orders, a third-party inspection (SGS, Bureau Veritas, or similar) at the factory before shipment is standard practice in the industry.
Communication and Lead Time
State your target price and quantity clearly in the first message — factories reply faster to concrete inquiries. Budget 30–45 days for bulk production plus shipping time. A good factory sends production photos and updates through the cycle, not just silence.
